What's the process for migrating my data from a previous CRM?

Migrating data can be a daunting process - you may be unsure what to expect and what the process is like.

If you've made the decision to join Trail or the Kiwi Adviser Network and you have data to bring with you, our team is dedicated to making this transition as smooth as possible.

In this article, you will learn how this process works and what to know in each step!

Step 1: You request your Data

We will ask you for a copy of the data from your previous CRM provider. This is most often provided to you in the format of one or more data set links with passwords attached to them.

These links will also frequently have a set expiry time to protect your information security, so it's important that you send us this as soon as you receive it.

Step 2: We Download and Import Your Data

Once our team has received the data set links, they will proceed to download and examine your data. Our Data Team are wizards at making your data match Trail's system and processes, so we'll also do a bit of clean-up as well 👍

This stage can take several weeks depending on the current workload of our data team. We recommend that you keep your previous CRM account open so that if there are any hiccups, we can always refer back to how your information previously appeared.

During this period, we highly encourage you to start using Trail in your day to day work. While your information may not have come across yet, you can always merge your work with the data that's about to be imported in.

Part 3: You review your Data

Once your data is cleaned up and ready to go, we import it first onto a pre-production environment 👍 This environment mimics what your CRM will look like, but isn't actually linked up to it yet, so you can go in and examine your clients to ensure your data is looking exactly how you'd expect.

Now is the best time to ask any questions to our data team. Once we've imported the data to the live CRM, it can take significantly longer to fix any issues.

Our data team will provide you with a login to this environment and once we get the green light from you, we'll import it overnight to your live Trail CRM 🎉

Part 4: Your Data is LIVE on your Trail organisation

The last stage of your data import is when the final data set is imported to your live Trail organisation.

Please do expect to do some post-import clean up of your data. As our team can make some guesses in the process, we don't know your clients/ information as well as you do so it is tricky to know exactly e.g. when client data is a duplicate or not!

From now on, you'll be able to access your files just like you did in your previous CRM while using all of Trail's new features!
